PST File Management and attachment compression with automatic pst file compaction

Personal Folders are commonly used by Microsoft Outlook™ and Microsoft Exchange to store email information including attachments.

These Personal Folders are stored in a file with the extension PST. Microsoft™ has physically limited the file size of PST files to 2 GB of data for Outlook™ up to 2003.  Outlook 2003, 2007 and 2010 support larger PST file sizes, however many data integrity problems still start just below 1 GB.

Symptoms:

Outlook becomes slower
Outlook "hangs" while opening the data file
Emails can not be read, forwarded, printed or deleted.

 

Resulting in to many calls to already busy IT support personnel

PSTCompress™ is a Windows application that can decrease the size of all (personal folders) PST files created by Microsoft Exchange™ and Outlook™  2000, XP , 2003, 2007 and 2010* by up to 95%.   This is done in two steps.  In the first step PST compress recovers space in the PST file using a e-mail management policy.  This policy allows PSTCompress to

  • Zip e-mail attachments by age and size.  The attachments are still stored in the PST file but are smaller since they are now in zip file format.
  • Store e-mail attachments to disk and strip them out of the e-mail.  The attachments are no longer stored inside the PST file, but on disk.  The attachment can be zipped before it is stored to save disk space or stored in it's original format.  A link is placed in the e-mail so the attachment is still accessible from the e-mail through Outlook.
  • Eliminate duplicate attachments when storing them to disk
  • Delete e-mail attachments by age.
  • Empty the deleted items folder.
  • Delete sent item attachents and put a reference in the e-mail to the path of the original document. (Which probably still exists in that path)
  • Delete sent items by age (E-mail and attatchment)

In the second step,  PSTCompress runs an Outlook compaction on the PST files.  This step eliminates all the "dead" space in the PST file, including the space saved by compressing the attachments.  The result is a reduction in PST file size of up to 95%.

The centralized database structure will allow for a central PSTCompress™ console, while using multiple server engines to compact the server based PST files.

PSTCompress can be run interactively, from the command line or scheduled to run in batch.  PSTCompress has been designed to process PST files completely automated way.   With PSTCompress, administrators have the option to compact single PST files, but also thousands of PST files according to a schedule.

PSTCompress interfaces with the Windows Task scheduler to kick off a scheduled PSTCompress task automatically and when there is not enough time to complete, the schedule will continue at the next interval.  PSTCompress also supports processing password protected PST files. In addition, PSTCompress can produce reports in HTML, text and CSV to show what was done.  

In this way, PSTCompress makes PST compacting completely transparent and convenient, leaving time for the busy IT department to deal with more strategic tasks.

Installation Requirements:

Hardware requirements:

  • 256 MB of internal memory
  • At least 10 MB available disk space.

Supported Outlook Versions - you must have one of the following versions of Outlook installed:

  • Outlook 2000 (SR1 and above)
  • Outlook 2002 (XP)
  • Outlook 2003 (This is required if Unicode Outlook 2003 PST files will be processed)
  • Outlook 2007 (This is required if Outlook 2007 PST files will be processed)
  • *Outlook 2010 32 bit only (PSTCompress 5)
